Campaign Naming Opportunities and Endowed Funds Guidelines

Introduction
The Stewardship Committee of the Miami University Foundation, in conjunction with the Committee on Naming of Campus Facilities and the Vice President for University Advancement, has established minimum gift level amounts and guidelines for gift naming opportunities. The Miami University Board of Trustees is the sole authority for official approval of any named facilities, programs or positions. University approval cannot be granted until the donor's name is known or until the name or names of the person or persons being honored are known. The gift levels described below are intended only as minimum amounts needed to name the respective opportunity. The President, the Vice President for University Advancement and the appropriate university administrators will establish specific pre-approved gift ranges for naming prior to discussions by development staff with prospective donors. In most cases, gifts may be made over as long as a five-year period.

Specific Gift Naming Opportunities for Endowment Funds

College, Schools, or Departments: To name the college, the schools or academic departments, a minimum gift commitment of $5-$35 million for endowment is required. The amount shall be determined based on the size and scope of the academic unit and its programs. Potential namings shall be brought before the President, the Provost, the Vice President for University Advancement, the Stewardship Committee of the M.U. Foundation Board, and the Committee on Naming of Campus Facilities before submitting a recommendation to the Board of Trustees for formal approval.

Chair: To establish an endowed chair, a minimum gift commitment of $1 million is required, and the chair may be restricted to specific fields of study within academic departments. The primary purpose of the endowment is to recruit faculty of stellar quality. The funds will be used to provide salary supplement to a new or existing line and also may be used to provide program support for the Chair holder. The University is responsible for the selection of chair holders.

Visiting Chair: To establish an endowed visiting chair, a minimum gift commitment of $1 million is required, depending on the size and scope of the program. The funds are to be used to supplement salary on non-tenure track faculty positions.

Center/Institute/Program: To name a center, institute or program, a minimum gift commitment of $1 million for endowment is required, depending on the disciplines involved and the size and scope of the programs.

Professorship: To establish an endowed professorship, a minimum gift commitment of $400,000 is required. The primary purpose of the endowment is to provide support for the faculty member. The fund may be restricted by department but will be left to the dean and department chair to determine which area of study will receive the funds.

Faculty Scholars: To establish an endowed faculty scholars fund, a minimum gift commitment of $100,000 for endowment is required, depending on the particular area of concentration. The funds will be used to help retain and support existing faculty through program or research support. Each fund may support multiple recipients.

Graduate Fellowship: To establish an endowed graduate fellowship, a minimum gift commitment of $100,000 for endowment is required, depending on the discipline and size and scope of the program. A graduate fellowship is awarded to a student who is working towards an advanced degree in any of the graduate fields.

Research Fund: To establish a research fund, a minimum gift commitment of $100,000 for endowment is required, depending on the size and scope of the program. The annual earnings from the endowment will be used for research.

Classroom, Laboratory, Conference Room or Seminar Room Fund: To establish an endowed laboratory or room fund, a minimum gift commitment of $100,000 for endowment is required, depending on the size and scope of the program. The annual earnings from the endowment will be used for equipment, research or furnishings.

Lecture Series: To establish an endowed lectureship, a minimum gift commitment of $50,000 for endowment is required, depending on the size and scope of the program. The annual proceeds from this endowment will be used to pay for honoraria, publicity, and the expenses of the visiting lecturer to present a lecture on campus.

Scholarship: To establish an endowed scholarship, a minimum gift commitment of $25,000 for endowment is required. These endowed scholarships may be awarded to undergraduate students on the basis of need and/or academic merit and the donor may specify the school or college. If the endowment is in excess of $50,000, the donor may further specify a department; discipline or other criteria provided it meets University guidelines.

Library Funds: To establish an endowed library fund, a minimum gift commitment of $25,000 for endowment is required. The income from the endowment may be used for the acquisition and maintenance of information materials for the libraries.

Other Named Funds: The endowed funds and other funding requirements described above are listed because of their broad appeal to donors. A variety of other purposes require funding and offer numerous gift opportunities. Each college, school or department (academic or administrative) can establish named endowed funds to support the particular activities of its program provided the President and Vice President for University Advancement approve minimum endowment standards prior to solicitation. The base minimum to establish an endowed fund is $25,000.

The Stewardship Committee of the Miami University Foundation shall have the latitude to approve the establishment of named funds in amounts less than those stated above, provided that it is understood that, within a reasonable period of time from the establishment of the fund, the principal thereof, including additional gifts, shall equal the stated minimum. If the stated minimum is not achieved, then the fund may be terminated and the funds expended for the college, school or department originally designated by the donor.

Specific Gift Naming Opportunities - Buildings and Facilities (indoor or outdoor)

The naming of buildings or areas, by virtue of private donations, on Miami 's campuses or on properties affiliated with Miami must follow University naming guidelines as approved by the Board of Trustees.

The Committee on Naming of Campus Facilities, chaired by the Vice President for University Advancement, is responsible for reviewing all names proposed for campus buildings (existing and planned), any portion thereof, outdoor facilities, as well as the college, schools and major programs. The committee makes recommendations to the Board of Trustees that has sole authority to approve such names. See Board of Trustees Resolution R2001-Consent Calendar #6 ( 4/20/01 ) for the most current naming policy statement by the Board.

The function of structures on any university campus is fluid, depending on many factors, and over time some structures reach their life expectancy and may cease to exist. As specified in the policy approved by the Board of Trustees on April 20, 2001, only in extraordinary circumstances would the name of a building, facility or program which ceases to exist be moved to another building, facility or program, and then only by vote of the Board of Trustees.

In all cases, due diligence must be performed and observed to ensure that names given are appropriate to the University. The Vice President for University

Advancement, the President and the Board of Trustees retain the right to approve or disapprove any naming opportunity in serving the best interest of Miami University .

Because the impending Campaign offers potentially many new facilities naming opportunities, the minimum dollar level to name specific spaces on campus will be identified by the Vice President for University Advancement and the appropriate unit dean/director, in consultation with the Committee on Naming of Campus Facilities, prior to solicitation by members of the development staff. Examples may include:

bullet. Existing unnamed buildings
bullet. Grounds, courtyards, plazas
bullet. Lecture rooms/auditoriums
bullet. Classrooms/labs
bullet. Floors, wings of buildings
bullet. Public areas, i.e., hallways, atriums, foyers, etc.

Numerous opportunities exist to name places and landmarks in memory of family or friends or in honor of donors who make substantial contributions toward landscape improvements that would enhance the beauty and utility of the campus. However, this may require additional approval by the Campus Planning Committee of University Senate and/or the Committee on Exterior Art and Memorials in addition to the Committee on Naming of Campus Facilities.

The following examples illustrate possible facilities naming gift opportunities that can be offered in conjunction with the Campaign:

New construction (state & private funding): With respect to new buildings, the facility may be named for a donor as he/she requests provided the donor's commitment covers the majority of the private portion of the cost of the structure. The University also will seek endowed funds for the maintenance of new buildings. From time to time, new buildings or facilities may also be named for extraordinary service or philanthropy to the institution as outlined in the Board of Trustees Resolution R2001-Consent Calendar #6 (4/20/01). These namings would be resolved on a case-by-case basis.

Existing facilities: In the case of major renovation that extends throughout an existing building or facility, the current building name may be hyphenated with the donor's name provided the donor's gift covers at least a majority of the cost of the major renovation. A new name also may be hyphenated with the current name on an existing building to recognize a significant endowment fund donor, provided the fund is equal to approximately half of the replacement value of the building. These major renovation or endowment fund namings would be resolved on a case-by-case basis.

Funds donated to name a new or existing building or an area must be designated for construction or refurbishment of the building or area and/or must be unrestricted to the college or unit to which the building or area is dedicated for principal use. In general, naming of a building or an area requires a completed gift of cash or assets that can be converted to cash. Ordinarily, deferred gift commitments will not be counted toward the required minimum.

Facilities Naming Review Process & Gift Negotiations:

1.. Prior to approaching a donor about construction/renovation/facilities projects, the development officer should consult with the Vice President for University Advancement about possible gift levels for naming. A plan for a specific naming opportunity and appropriate gift levels will be developed by the Vice President, the other appropriate vice president/dean/director, and the development officer, in consultation with other university administrators, prior to the start of any construction. The Vice President will seek the President's approval of potential namings of buildings and major facilities. No final commitment to name a building or facility can be made to a donor without the appropriate approvals as outlined herein.
2. The Vice President for University Advancement also will seek pre-approval of gift ranges from the Committee on Naming of Campus Facilities in order to facilitate discussions by development officers and other university personnel with prospective donors.
3.

In discussing the gift and gift recognition with the donor, the development officer should inform the donor of the steps involved in the approval of namings by the Committee on Naming of Campus Facilities and by the Board of Trustees.

4. All renderings, construction models or other plans should be identified as conceptual and not a literal depiction of the facility under discussion. In negotiating with donors, university representatives should ensure that donors understand that the University has final control on details of design, construction, furnishing, etc.
5. Upon verbal agreement of the gift by the donor, the development officer will submit the naming suggestion with appropriate justification to the Vice President for University Advancement for approval to move forward with the solicitation and Memorandum of Understanding.
6. If needed, based on the nature of the gift, seek the approval of either the Campus Planning Committee or the Committee on Exterior Art and Memorials.
7. Then upon completion of a signed Memo of Understanding by the donor and all relevant university officials, the proposed name will be submitted to the Committee on Naming of Campus Facilities and, with their recommendation, forwarded to the Board of Trustees for official approval.
8. Appropriate public recognition, depending on the scale and purpose of the gift, will be arranged.
